Phase 1
Preparation
Budgeting
With services to meet all budgets, we'll make sure we can provide a proposal and process that meets your budget allocation needs.
Inventory File Download
We will help walk you through downloading your current fixed asset inventory file to prepare for the audit process.
Scheduling
We will analyze your current inventory file and plan a schedule that works around your districts constraints such as testing days, building closures, etc. allowing clear district-wide communication about the audit process and timing. We'll even provide sample notification emails that you can send to your staff!
Phase 2
On-Site Audit
In-Brief
Our first stop will be to meet with you and your relevant stakeholders to align on the inventory process, receive keys, badge access, etc.
Wall-to-Wall Inventory
Next we will perform a wall-to-wall inventory audit of every building and facility in your District. Our staff is trained to minimize any disruption to the learning environment while we are in your schools!
Out-Brief
Before leaving your district we will again meet with you and your relevant stakeholders to give a preliminary report on the audit and any high-level findings or notes.
Phase 3
Reconciliation
Reconciliation
We will reconcile your previous year's inventory file with the new up-to-date audit that has been captured. We will note all assets that have been found, have changed location, or are missing.
File Upload
We will upload your new inventory file into your software of choice. We are the only provider that integrates directly with Harris NextGen! We also happily work with Hayes TIPWeb-IT, Tyler Tech Infinite Visions, and any other asset management program that you use.
Final Reporting
We provide you with a complete final report that outlines all your fixed asset metrics including new assets, moved assets, disposed assets, missing assets, and more. We will also provide recommendations for your district to help maintain accurate fixed asset accounting throughout the year.
