Importing Assets

You can import new assets into K12 Asset Pro by using a spreadsheet. Please be aware that when uploading new assets you must save your file in .CSV format and you must have information in ALL required fields or you will receive an error.

We suggest starting from our template files that can be found here. You can feel free to delete any of the columns that you are not using, other than the required columns of course! https://divotassets.com/upload-templates/

(Looking to update existing assets in bulk with a spreadsheet? See our guide on that here: https://divotassets.com/knowledge-base/updating-asset-by-spreadsheet)

Before you start, check your upload file!

Please be aware the following data fields are required for your import, every asset must have information filled out for all of these data fields: Asset Tag, Site, Asset Description, Category, Manufacturer, Model Name, Status.

Your K12 Asset Pro system already has defined Category and Statuses, please be sure to use these pre-existing values otherwise you will be accidentally creating new Categories or Status labels when you perform the import.

Starting Your Upload

1) On the left side navigation hover over the import module icon and then click on “Import Assets”. Then in the upper right hand corner click on “Select File” and select the CSV file you have saved with your new asset information.

2) Click on the blue button to begin the import

3) For Import Type select “Assets”

4) You will now see how the headers of the columns in your file have been mapped to the available data fields. If you have started with our template then all of the headers should be automatically mapped to the correct data field. If everything looks good click “Import” button.

5) If any of your columns have not automatically mapped correctly you can click on the dropdown next to your header title and select the proper data field for that column to be mapped to. If everything looks good click “Import” button.

6) After you have clicked Import you will be redirected to the Import History page. After your import is completed you will see the status update to Uploaded. Your assets have now been uploaded and you are done!

7) If there were any errors in your upload file you will see a Failed message. You can then click on the blue button with the eyeball symbol to inspect what errors there were in your file. Most of the time errors are from not having a required data column such as Site or Model Name.
