K12 Asset Pro supports tagging assets and users by their Department. The Department data field can be used to filter assets for reporting or to restrict the assets and users that a given user has access to.
Adding New Departments
1) To add new Departments you must be logged in as an Admin user. Navigate to the double gear icon in the top right corner of your screen.
2) Click on the icon for Department Settings.
3) Click on Create New.
4) Enter your Department name, then click Save.
Assigning Assets to a Department
You may add an asset to a Department when you are first creating the asset or you can edit an asset to add a Department. You can also use the Importer tool to update the Department field for assets in bulk.
1) Navigate to either the Add New Asset window or to the Edit window for an asset. Then scroll down to the Additional Information section and select the correct Department from the dropdown menu.
Restricting User Access by Department
Users can be restricted to the assets and users they have access to either by Site, asset Category, or asset Department. Reminder: all three of these restrictions will layer upon eachother so a user will only have access to asset that meet ALL the restrictions placed on them.
1) Navigate to the Users list, then click on the Edit button next to a user.
2) You can select the Department that a user is assigned to. Note: This will NOT yet restrict them to only this department, it simply indicates they are a member of this department. To restrict user access by department please see #3 below.
3) To restrict a user to accessing assets and users only from a specific department(s) first check the box next to “Restrict User Department”.
4) Then click on the Select Department data field and choose the appropriate Department(s) from the drop down menu. Then click Save.
