Inventory Audit

When performing an inventory audit, please remember to always update the Location (room) to reflect the correct room you are scanning assets in!

1) Go to the Audit feature.

 

2) On the audit screen you will see the data fields where you can select the Site and Location (room) that you are currently auditing assets in. If you need to add a new location that is not currently available in the system please click the “Add New Location” link.

Note: if you add a Note when auditing it will apply only to the next asset that you scan, however if you select a Condition that condition state will be applied to all following assets until you update the Condition to a new value.

If you scroll to the bottom of the Audit screen you will see a summary of all assets currently assigned to that room. If the date is in Red it means that is has not been recently audited and needs to be scanned. If the date is in Green it means it has recently been audited. If an asset has never been audited before you will see a dash (-) instead of a date.

Assets will instantly appear in the list after you have audited them if they were not previously assigned to that room. You may click on any asset in the list to edit it if you would like.

Remember: the summary list indicates assets assigned to the room, however you may find assets that have been moved INTO the room and have not yet been updated so they will not reflect in the list. Also some of the assets on the list may have been moved OUT of the room and not updated yet, so there may be items on the list that you cannot find in the room. This is the purpose of doing the inventory audit! Use this list as a helpful guide for a double check after you have completed a room but please be diligent in checking all through the room to find all required assets!

 

3) After you have scanned the asset you will see a green success window, you can press OK and audit the next asset. If you do not see this check mark then the asset you scanned may not be in the system and may need to be added, which you can do by clicking the “Add New Asset” link.
